Project Coordinator
Haddad Brands Europe, founded in 2017, specializes in the distribution of children’s apparel under exclusive licenses (Nike, Levi’s, Converse, Jordan, Lacoste…) across Europe.
Operational for 8 years, the company has experienced remarkable growth and now counts over 500 employees throughout Europe.
We distribute our products both through wholesale, working with major multi-brand and specialized retailers, and through retail, via our corners in leading department stores.
In concrete terms, this means that if you purchase children’s apparel (0–7 years for Nike, 0–16 years for Levi’s, Converse, and Jordan), whether in a physical store, online, in the Netherlands, the UK, Italy, or anywhere else in Europe, the product you’re holding has gone through us — even if you bought it in an official Nike or Levi’s store!
We are currently looking for a Project Coordinator.
ABOUT THE ROLE:
We are seeking a highly proactive and organised Executive Assistant to provide high-level support to our Executive Vice-President.
This role is central to the smooth operation of executive activities and requires excellent organisational skills, autonomy, and strong communication abilities.
The successful candidate will play a key role in improving processes, coordintating complex schedules, and supporting strategic interactions with key customers and brand partners.
KEY RESPONSIBILITIES:
Global Calendar Alignment & Regional Ownership
Work with all involved Haddad Brands Europe and Haddad Brands US stakeholders to ensure full alignment to global seasonal and annual product calendars, key milestones, and gate meetings for all brands.
Own and maintain European lifecycle calendars for all brands, ensuring visibility, accuracy, and accountability across all cross-functional teams.
Act as the single point of orchestration for calendar governance in Europe, ensuring consistency of timelines while respecting functional ownership across Merchandising, Sales, Supply Chain, and Operations.
Execution Tracking, Risk Management & Escalation
Monitor and track all deliverables tied to HBE’s global calendar, identifying risks, delays, capacity constraints or dependencies early.
Proactively communicate and escalate calendar challenges and capacity constraints.
Collaborate with all involved stakeholders to assess impacts of delays and align on revised dates, mitigation plans, and downstream implications.
Escalate unresolved calendar conflicts to HBE leadership with clear options, trade-offs, and recommendations to support timely arbitration and decision-making.
Product Lifecycle Leadership
Ensure lifecycle milestones are clearly understood, owned, and executed by the appropriate functions, without replacing functional accountability.
Support and follow-up on all phases of HBE’s operations (forecasting, supply, purchase, sales and customer service), including:
- Seasonal hindsight and post-mortem analysis
- Long-range forecasting and line planning
- In-season assortment execution and adjustments
- Buy, order, and sales-related deadlines
Hindsight, Continuous Improvement & Best Practices
Lead structured seasonal hindsight reviews to identify root causes of delays, inefficiencies, or misalignments.
Mentor and guide teams on calendar discipline, lifecycle ownership and best practices.
Partner with HBU counterparts to provide actionable insights and recommended improvements to global calendar.
Translate hindsight insights into concrete calendar improvements, updated milestones, and revised ways of working, and ensure adoption across teams.
SCOPE & BOUNDARIES:
Owns calendar governance, execution tracking, and escalation for HBE.
Does not replace functional ownership of product strategy, merchandising decisions, or commercial priorities.
Acts in close collaboration with Process Manager to ensure consistency with company’s best practices.
Acts as a neutral orchestrator and facilitator to enable alignment, transparency, and timely decision-making across functions.
REQUIRED SKILLS & QUALIFICATIONS:
Experience in project management, calendar, or cross-functional execution management within the fashion or apparel industry.
Strong experience operating within a global, matrixed organization.
Experience with licensed product and/or apparel/accessories preferred.
Proven ability to manage complex calendars, cross-functional dependencies and execution trade-offs.
Experience working closely with Purchasing, Supply chain, Customer Service and Sales teams.
Fluent / bilingual English required.
Experience using Asana or similar project and calendar management tools in a cross-functional environment is a plus.
Ability to operate with influence rather than authority in a cross-functional environment.
